Calendar synchronization prerequisites
  • RIM BlackBerry data rate plan
  • Calendar entries must be created manually, or synchronized via one of the following methods:
    • A BlackBerry Enterprise Server or BES Express e-mail account configured for wireless synchronization
    • Manual synchronization via BlackBerry Desktop Software for PC or Mac
  • Verify one of the following connections is established:
    • AT&T wireless data network attach
    • Wi-Fi (non-AT&T) network attach

Create an appointment or meeting

  1. On the Home screen, open the All tray, then scroll to and select the Calendar icon  (to select, press the trackpad or tap the screen).
  2. The calendar appears.
    NOTE: By default, the calendar initial view is set to Day.
      
      
  3. Press the Menu key, then select New Appointment.
    NOTE:  Alternatively, tap the New Appointment icon .

  4. The New Appointment screen appears.
      
      
  5. In the following fields,  scroll to and select the desired option:

    SubjectType the subject of the appointment.Blank

    All Day Event Set whether the appointment occupies a full day.Blank
    StartSet the date and time when the appointment starts.Selected date and time
    EndSet the date and time when the appointment ends. If this field is modified, the Duration field reflects the change.
    Lotus Notes: Lotus Notes users cannot create appointments that span days. The appointment must start and end on the same date.
    1 hour after start time
    DurationSet the length of the appointment. If this field is modified, the End field reflects the change.1 hour, 0 minutes
    Time ZoneSet the time zone in which the appointment occurs.Selected Time Zone
    Show Time AsSet appointment time as (Free, Tentative, Busy, or Out of Office).Busy
    ReminderSet the amount of time in advance the handheld notifies you of the appointment. If you do not want to be notified, set this field to None.15 Min
    Conference Call Set the participant dial in and access code.Unchecked
    RecurrenceSet whether you want the appointment to recur regularly, such as on a daily, weekly, or monthly basis.
    Every: Set the frequency of the appointment.
    End: Set the date on which the series of appointments ends.
    Days: If your appointment recurs weekly, set the days on which the appointment recurs.
    Relative Date: If your appointment recurs monthly or yearly, it can set whether the appointment recurs on the exact date or on the relative date. For example, it can set the appointment to recur on the 28th of each month (exact date) or on the last Monday of each month (relative date).

    • OPTIONAL: Press the Menu key, then select Invite Attendee.
      NOTE:  Alternatively, tap the Invite Attendee icon .
        
        
      1. Scroll to and select a contact to invite to the meeting. Select [Use Once] to send an invite to a contact not on the device.
        NOTE:  To add additional attendees, repeat.
          
          
      2. To check invitee calendar, scroll to and select View Availability.
        NOTE: This feature is only available for BlackBerry Enterprise users.
           
           
      3. To automatically schedule the meeting for the earliest time all invitees are available, scroll to and select Next Available Time.
          
          
  6. Press the Menu key, then select Save.  A meeting invitation will be sent out to all invitees.
    NOTE: Alternatively, tap the Save icon .
       
      
  7. A meeting invitation will be sent out to all invitees.
    NOTE: Any responses to the meeting invitation are received in the messages application.

Create an appointment quickly

  1. On the Home screen, open the All tray, then scroll to and select the Calendar icon  (to select, press the trackpad or tap the screen).
  2. The calendar appears.
    NOTE: By default, the initial calendar view is set to Day. If the calendar displays in Month format, scroll to and select the desired date.
       
      
  3. Beside the start time, type the "subject" of the appointment.
       
       
  4. Beside the subject, type a "location" in parentheses.
       
      
  5. Slide your finger up or down the trackpad to change the end time of the appointment.
       
      
  6. Click the trackpad to save the appointment. 
    NOTE: Alternatively, tap the Save icon .
